Position Summary:

Performs professional accounting and bookkeeping work at a level requiring knowledge and application of general accounting theory, techniques and practices knowledge of the University general accounting systems. Assist the Administrator and Associate Director for Administration in running efficient and effective academic, research, and clinical programs. This position requires the ability to communicate on a professional level with faculty, staff, students, and other departmental personnel from diverse backgrounds, as well as the ability to work independently and as part of an experienced, and highly effective administrative team. Duties will vary depending on daily/weekly priorities.


May perform a combination of the following:

  • Develop monthly ledger reconciliation and analysis. Prepare ledger reports and reconciliation of expenditures; compose correspondence related to problem areas, account number changes, etc. Maintain accounting reconciliation files.

  • Analyze ledger accounts to determine accuracy of expense entries, use judgement as to whether account balances are reasonable, investigate timing differences or errors, working cross-functionally to correct, examine account documents to ascertain that transactions are properly supported in accordance with University policy and procedures; initiate corrective action or recommended solutions as appropriate. Identify missing/incorrect charges.

  • Develop, prepare, review, and interpret UR Financials and other finance-related reports.

  • Prepare and process journal entries, purchase orders, supplier invoice requests, subcontract invoices, deposits and travel reimbursements, as needed . Check reasonableness of all reviewed expenses and examine accounting documents to ascertain that transactions are properl y supported in accordance with University and sponsor policies and procedures. Maintain all accounting transactions documentation including copying, scanning and filing materials.

  • Perform monthly grant or clinical trial expense tracking and monitor adherence to grant budgets on a monthly basis based on study protocols and sponsor guidelines, reconcile discrepancies

  • Review and adherence of University and sponsor guidelines and policies to post award areas, including maintaining CLASP certification.

  • Equipment In v entor y, Equipment Maintenance , and Telecommunications. Maintenance o f equipment invento ry database, tag equipment, process related paperwork for Plant A ccounting Office for equipment disposition . Reconcile monthl y telecommunications statements. Prepare new telecommunication requests and ch a nges to equipment.

  • May assist with HRMS functions, such as time approval, and payroll form changes.

  • Perform other related work as required


    AAS degree in Accounting/Bookkeeping plus 3-4 years of related work experience; or an equivalent combination of education and experience.

    Preferred Qualifications

    Advance skill level in Microsoft Excel and related office applications required.

    CLASP certification preferred or plan to obtain within I year of employment
