Administrative Assistant/Undergraduate Program Coordinator Department of Mathematics

Responsibilities
Position Summary
With minimum direction and considerable latitude for independent judgement, performs routine and non-routine duties requiring highly advanced organizational skills and proficiency for the Department Graduate and Undergraduate Programs. Receives general supervision from the Department Administrator.
Responsibilities:
Provides assistant to the Director and Assistant Directors of Undergraduate Studies.
Acts as liaison to Registrar’s office and classroom scheduling office.
Generates payroll forms for undergraduate TA’s (approximately 65-80 per semester) for both Mathematics and the Statistics Program and monitor budgets.
Orders textbooks and desk copies for Math and Statistics Program classes.
Supervises and works with the Department Secretary to coordinate class and exam schedules.
Sets up schedules for visits from prospective students and aids in preparation of paperwork for arrival of international students.
Helps to orient new students to department.
Monitors Undergraduate teaching assistant budgets.
Prepares all forms generating stipends, tuition, and health insurance for students.
Maintains payroll records resolving problems with HR Service Center.
Investigates and resolves questions pertaining to student bills with Bursar’s Office and UHS.
Provides guidance and interprets rules of the Undergraduate program for both faculty and students.
Coordinates Summer Session classes and assigned instructors with the Office of Summer Programs.
Acts as backup assistant to the Graduate Program Coordinator if out for any reason.
Other duties as assigned.
Qualifications:
College graduation or an equivalent combination of experience and training. 1 year of relevant administrative experience.
