Full Time 40 hours Grade 051 Orthopaedics M&DResponsibilities
With latitude for independent judgment and priority setting serve as assistant to the Senior Program Administrator and to Faculty in the Department of Orthopaedics and Rehabilitation. Excellent oral, written and interpersonal communication skills are essential. Must possess demonstrated customer service experience and the ability to work in a team setting with all levels of management, faculty and staff. The assistant must possess the skill to prioritize numerous tasks and have experience planning and tracking the details of many projects. The assistant is responsible for advising on expense reimbursements including approval and processing.
Manages Senior Administrative Office phone calls and correspondence - Independently handle many issues and questions that arise regarding the Orthopaedic Program and triage others as required to the Senior Program Administrator or other appropriate person.
Collects, analyzes and distributes data from multiple sources in preparation for monthly reporting, including high level data from our different department administrators. Prepares departmental financial and statistical reports for the Department Administrator on a monthly Basis, including managing flow and following up on missing data.
Contact for Department Heads within the Orthopaedic Program on issues related to administrative support services.
Manages calendar, schedules meetings, prioritizes time within calendar and independently adjust as necessary.
Approves payroll for designated Orthopaedic employees
Helps with PAF forms and other HRMS items as needed
Creates and processes invoices for services to SUNY Brockport and others as needed
Coordinates purchasing materials, approving invoices, and reviewing all requests for payments and employee reimbursements signed by the Administrator.
Coordinates directly with Facilities, Purchasing, Finance, University IT, Housekeeping, etc. Prepares and signs forms, requisitions for these services.
Manages and advises on policies that pertain to financial reports and expenses for the Faculty
Provide backup coverage for the Chair Office
Other duties as assigned by Administrator.
Associate's degree or an equivalent combination of training and experience, which includes at least 1 year of relevant administrative experience.
Must possess excellent computer skills, with a strong focus on Excel and PowerPoint.
