With minimal direction and latitude for independent judgment, directs and prioritizes efficient and effective clinics for NMD division and for EMG Laboratory. Provides oversight and supervision of NMD scheduling office staff. Acts as a resource to clinical staff providing care to patients, utilizing resources efficiently. Monitors and ensures that all functions are completed in an accurate, efficient, and customer friendly manner. Exercises sound judgment and demonstrates excellent customer service skills in a busy, clinically based environment. Required to anticipate needs, problem solve, and independently prioritize.
Supervises clinical staff members in NMD/EMG Scheduling Office to handle complex appointment scheduling for two locations, to include clinic appointments and procedures: EMG studies, biopsies, and genetic testing. Prioritizes work flow, assigns work and mentors staff members. Resolves performance issues, and provides input into annual staff performance evaluations.
Develops procedures and ensures efficiency of operations, maintains quality outcomes for service delivery by coordinating functions of scheduling with all NMD providers and independently redirects workflow as appropriate. Acts as liaison for training and supporting staff at AC1 Front Desk and Neurology Call Center also, responding to questions and assisting in troubleshooting. Integrates appointments with procedures simultaneously, working collaboratively with other disciplines. Oversees the complexities of combined and multidisciplinary clinics to ensure efficiencies for provider and for patients needing to see other specialties on the same day. Uses continuous process improvement methods to identify and implement best clinical practices. Attends clinic as needed.
Acts as primary contact for triaging new patient visits. Collaborates with nursing staff to ensure new patients are scheduled appropriately. Responsible for ensuring all necessary documentation has been completed to the EMR.
Manages electronic fax and electronic signature program to ensure the efficient and timely management of documentation flow for the division. . Ensures complete, accurate, and timely information requests are completed and secures necessary information from providers/patients prior to appointments. Answers phones, triages calls and relays messages. Resolves patient needs independently, fielding patient inquiries, concerns, and billing questions. Oversees the scheduling of interpreters, transportation, and accommodations, when needed. Responsible for the security of confidential patient information and files, which includes, but is not limited to, materials that require scanning, faxes received regarding patient information, and completing requests received for patient records.
Responsible for template building and maintenance of provider schedules and on-call process for division. Creates on call schedule and updates web paging system accordingly. Creates/builds templates for clinic functions. Procures requisitions from outside physicians’ offices, and coordinates patient information for two clinic locations. Maintains and updates cancellation/wait lists to effectively manage utilization
Manages the process of insurance referral requests and appeals, obtains prior authorizations for coverage of services, and coordinates with physicians. Relays information and exercises discretion and confidentiality to assist patients.
College graduation or an equivalent combination of experience and training. 1 year of relevant administrative experience. Must possess strong verbal/written communication style, attention to detail and demonstrate leadership skills and team work.
