Work under the general direction of the Director, Ambulatory Pharmacy for the Department of Pharmacy, with independence and latitude to exercise judgment. Assist with all aspects of administration for the department and assure the necessary support for operations. Maintain strong working relationships with all department leaders and administrators as well as all hospital and affiliated staff.
In collaboration with Department HR Business Partner, provide guidance to faculty and staff on all aspects of personnel administration, including recruitment, hiring, supervision, performance evaluation, compensation, progressive discipline, termination, employee rights and privileges, sick leave and vacation, disability, and employee benefits. Monitor staff compensation levels on a continuing basis. Supervise office clerical staff assist with prioritization and workload allocation.
Main point of contact for recruitment of assigned area(s). Assists departmental leaders with the entire recruiting and onboarding process including creating position descriptions, advertising and promoting openings, reviewing and screening applications, creating the interview template, scheduling interviews, making the offers to the candidates and onboarding of new hire.
Assist in facilities planning; in consultation with others, determines need for and recommends equipment and supplies. Coordinates space planning and space survey activities. Maintains space database on an ongoing basis.
Manages access to restricted pharmacy areas through the Gatekeeper.
Maintain accurate employee files to meet all NYS, regulatory and accreditation standards. Track and maintain essential employee information in shared, secure database including but not limited to, emergency contact info, technician certifications, pharmacist credentials , and current position within the department.
Responsible for the oversight of timekeeping for assigned area(s). Works with Leave Administration regarding Short Term Disability (STD), Family Medical Leave Act (FMLA), Paid Family Leave (PFL), and Worker's Compensation Claims. Tracks use of overtime in the department and processes extra compensation requests for pharmacist shifts above base hours as well as on call payroll requests.
Define onboarding process for new staff and ensure all staff receive consistent training. Coordinates all onboarding and orientation of pharmacy staff, including policies and procedures , University Mandatory education and all required documentation.
Graduation from college or an equivalent combination of experience and training required.
3 years of related work experience including at least 1 year in an administrative capacity in an academic office or project management, or the equivalent experience in business required.
Knowledge of University Polices, NYS labor laws, and excellent communication skills preferred.
