Responsibilities

Overview:

The Assistant Director for URMC Academic Programs Alumni Relations reports to the Senior Director of Alumni Relations and has primary responsibility for developing and implementing alumni relations communications and annual fund activity for alumni from the School of Medicine and Dentistry (SMD), School of Nursing (SON), and the Eastman Institute of Oral Health (EIOH) with the goal of building and enhancing the experience and connectivity of alumni, donors, prospects and volunteers, which will result in an increase in alumni engagement and participation. This position also supports academic program volunteer programs and events.

Principal Duties:

Under the general guidance of the Senior Director, but with independent judgment and action, the Assistant Director will be responsible for:

50% Communications :

Manages communications efforts for SMD/SON/EIOH alumni and friends in the following areas:

General Communications (30%)

  • Helps develop and support Go Give Help Connect goals and metrics through communications efforts, including plans for acquisition and retention of volunteers and donors

  • Creates, writes, and implements marketing plan for SMD/SON/EIOH alumni communications including platforms such as Rochester Alumni Exchange, Meliora Collective, unit websites; also includes social media plan with SMD/SON/EIOH Facebook, Twitter, LinkedIn, and Instagram to meet participation goals

  • Responsible for SMD, SON, and EIOH e-communication: prepares lists, development, content coordination, scheduling, etc. using platforms such as Constant Contact/iModules and approved templates. Promotes all events collaborating with central alumni relations and School partners to build attendance.

  • Project manager for unit design needs partnering with URMC Advancement Communication. Uses templates created by communications to customize for print needs.

  • Maintains and creates content for SMD/SON/EIOH Alumni websites

  • Attends School based communication meetings and assists in identifying features/stories for all URMC academic programs alumni print and e-publications. Possible story/feature writing may be assigned. Oversight of collection and formatting of Class Notes and In Memoriam for alumni publications that may also include online and e-newsletters and partners on related assignment when needed.

  • Designs SMD/SON/EIOH incoming class profiles

Events Communications (25%)

  • Collaborates with Advancement Communications, Central Alumni Relations and outside vendors to strategize, create, and deliver SMD/SON/EIOH reunion communications pieces

  • Manages SMD/SON/EIOH events communications. Assists other URMC advancement departments as needed.

  • Supports all SMD/SON/EIOH Reunion communications

  • Supports the technology needs of virtual and in person events

    30% Annual Fund and Reunion Giving :

Partner with the University Advancement Annual Fund and URMC Academic Programs team to develop messaging, goals and stewardship for the SMD/SON/EIOH Annual Fund:

  • Serves as liaison between URMC Academic Programs and Annual Fund for SMD/SON/EIOH wave mailings and e-communications. Team lead for Day of Giving for all three academic programs partnering to develop challenges and increasing participation and giving.

  • Coordinates reunion giving special mailings, reunion web pages and all program special appeals.

  • Oversees the stewarding of Annual Fund donors through activities and communications that demonstrate giving impact.

  • On-going consultation and benchmarking with peer institutions on annual fund and reunion programs; works with appropriate advancement colleagues to implement strategic best practices and increase alumni giving

  • Through meeting with School partners, ensures proper stewardship of class scholarships funded by donors and identifies opportunities to provide additional stewardship to donors of special and non-traditional restricted funds.

  • Oversees the strategy behind the URMC Academic Program annual acknowledgement letters.

    10% Volunteer Management and Events

  • Works closely with URMC Academic Programs Alumni Relations team members to help facilitate alumni councils, volunteer programs, and committees. Partners with the team to coordinate and supports events as needed

  • Acts as the staff point person for the Communications and Awards committee of the SMD alumni council.

    5% Awards Management

Manages Alumni Awards program which includes many facets such as promoting the program, working with an awards committee, preparing submissions for review, notifying recipients, award communications and recognition, and event support.

5% Other Duties

Additional responsibilities as assigned by Senior Director for URMC Academic Programs Alumni Relations

Basic Requirements:

Bachelor’s degree and a minimum of 4-7 years of advancement experience required or an equivalent combination of education and experience. Familiarity with academic medical center, especially Medical Center Advancement is a plus.

Skills:

A successful candidate will possess good judgment, a commitment to service excellence and team, strong communications skills, and a proactive, problem-solving personality. The ability to adjust to changing priorities and challenges in a busy environment and be a team player. Possess a spirit of Meliora- ever better and a can-do attitude is key. Additional skills include:

  • Familiarity with Constant Contact/iModules and working knowledge of social media tools is required

  • Strong skills in written and oral communication

  • Strong skills in graphic design, especially knowledge of Adobe Acrobat, InDesign, Photoshop, and Illustrator
