POSITION SUMMARY:
Vision research at the University of Rochester’s Flaum Eye Institute (FEI) and Center for Visual Science (CVS) is expanding to new levels! In order to meet the needs of our nationally-ranked Top 20 FEI research faculty and our internationally-renown CVS researchers, together with their trainees and staff, we are now looking to expand our research administrative support. We seek a motivated, enthusiastic and accomplished Assistant Research and Grants Administrator, who appreciates the importance of our work and will be primarily responsible for pre-award grants preparations, as well as post-award maintenance of grant-funded research accounts. Our new team member will liaise with eRA Commons, ASSIST, URGEMS, ORACS, IORA and ORPA, as well as with FEI and CVS leadership. They will oversee research personnel for correct effort and grant distributions. They will process faculty effort certifications, space and equipment reports as needed. Finally, they may perform special projects for Institute and Center leadership as needed.
RESPONSIBILITIES:
30% Provide in- depth support of pre-award and post award processes by communicating with Principal Investigators in the preparation of applications for research or training. Review budget and proposal packages to ensure all grants are submitted with appropriate information, attachments, and budgets are within sponsor specified guidelines and deadlines. Assist Principal Investigators with progress report submissions, terming projects, extension requests, and processing close out of clinical trials or grants. Identify funding changes and approaching project end dates to identify funding gaps, suggest new funding opportunities or reassign underfunded grant personnel.
30% Analyze grants and operating ledger accounts to confirm completeness and accuracy of data; uses judgment as to whether account balances are reasonable and consult with faculty, students, other administrative staff as needed to resolve problems; examine accounting documents to ascertain that transactions are properly supported in accordance with University policy and procedures; initiate corrective action or recommend solutions as appropriate; prepare routine working papers, exhibits and summaries supporting findings, recommendations, and budget variances.
20% Coordinate with ORACS to complete expenditure reports, review final financial statements and ensure accounts are reconciled and closed as needed.
10% Serve as liaison to sponsors and University offices involved in sponsored funding including the Office of Technology Transfer, Office of Research and Costing Standards (ORACS), SMD Finance and Office for Research Proposal Administration (ORPA)
5% Prepare routine financial statements and accounting reports for which the format has been established
5% Other duties as assigned
Required QUALIFICATIONS:
Graduation from college (Bachelor’s degree minimum preferred) or an equivalent combination of experience and training
2 years of related work experience
Proficiency with Microsoft software package (i.e., spreadsheets)
Strong attention to detail
Excellent written and verbal communication skills
Preferred QUALIFICATIONS:
Knowledge of University systems – URGEMS, UR Financials, ORACS, IORA, Workday and Cognos
Database experience
3 years of related work experience including at least 1 year in an administrative capacity in academia
Problem solving and analytical abilities.
Excellent interpersonal skills

Pay Range
Pay Range: $ 20.00 - $ 38.46 Hourly
The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
