Serves as Benefits Analytics Coordinator in the Benefits Office. Reconciles financial transactions across the entire Benefits Program and coordinates similar efforts across the entire Human Resources organization, gathers and prepares materials for audits, compliance, and required reporting, prepares and requests payment of Benefits Office remittances. Provides administrative support to the Manager, Benefits Program Financials & Analytics.

Runs monthly reports from Workday and reconciles ledgers for the various FAOs associated with the Benefits Office. Makes analyses of monthly transactions to confirm accuracy and proper supporting documentation. When necessary, requests additional information from appropriate area of Benefits and coordinates any corrections or recommends solutions as appropriate. Provides information for budget forecasts and to explain variances. Serves as a resource to the Benefits Office regarding the proper accounting of financial transactions.
Using a thorough knowledge of HRMS rules, programs, applications, and timing, assists in running routine and ad hoc reports and queries to review system data, verify accuracy, and identify and correct issues.
Assists with and/or acts as backup to:
Facilitate proper data flow and input into HRMS. Partner with members of the Employment Center to confirm accuracy of Job Data and with members of the Benefits Office to confirm accuracy of benefit elections and changes. Review and enter into HRMS benefits changes made via paper applications. Review and audit employee online elections in HRMS for accuracy. Update and submit retroactive changes to Payroll to adjust and correct deductions. Understand, communicate, and operate according to key timing implications for pay periods, payroll deductions, and entry of data rows into HRMS.
Coordinates the reconciliation efforts of all financial transactions across the entire HR organization. Ensures proper documentation and timely reconciliation of transactions, and serves as a resource to Human Resources regarding the proper accounting of financial transactions.
Gathers and prepares materials and responses in support of federal compliance requirements of the Benefits Program:
Requests data from vendors, runs HRMS queries, and compiles data in order to prepare Form 5500s for University ERISA plans. Updates Summary Annual Reports (SARs) and prepares mailing and electronic methods for delivery to participants.
Researches benefits enrollments and calculates associated costs in support of Form 990 reporting for health and welfare plans
Prepares and files for the University’s Retiree Drug Subsidy (RDS). Develops an Initial Covered Retiree List and maintains the list throughout the filing period. Monitors and reconciles weekly notifications from CMS, researching discrepancies as needed. Coordinates data requests with TPAs, reviews cost data, and ensures timely completion of Reconciliation. Works with functional areas of the Benefits Office to ensure timely delivery of Notices of Creditable Coverage to participants and to CMS.
Coordinates payment of health care area remittances. Prepares supporting documentation and request for payment and acquires authorizing counter signature from appropriate representative or manager.
Assists in retiree and ACA quarterly billing processes and audits. Prepares rate tables and calculations needed for billing.
Contributes to data integrity initiatives in the Benefits Office such as audits, clean-up, and process coordination with Benefits Administration
Preforms various analytic exercises including preparing metrics dashboards, benchmarking, and survey completion.
Other duties as necessary
Requires two years of post-high school education and 1-2 years’ experience in business administration, accounting, human resources, or related function; or equivalent combination of education and experience. Experience with Microsoft Word and Excel, customer service skills, willingness to collaborate, and attention to detail required. Preferred experience with benefit programs and aptitude for math.
