Business Office Manager - S. Clinton Ave Location

POSITION SUMMARY:

Serve as administrative support within the Flaum Eye Institute satellite operation. Under minimal supervision and with significant latitude for independent judgment and initiative, provides clerical office support, bookkeeping support, and administrative support to the satellite Administrator, as well as to Flaum Eye Institute faculty providers and optician(s), as directed by the Administrator, to maximize effectiveness of the satellite operation.

RESPONSIBILITIES:

Responsible for clinical practice template build and management of changes; responsible for clinic utilization/productivity goals.

Bookkeeping / Finance Form Processing:

  • Prepares Request for Payment (F-4), Travel & Conference reimbursement and Employee Expense (F-3) for faculty and staff as requested; independently follows through with payee contacts as needed to ensure communication is clear when payments lag due to Accounts Payable timelines and processes.

Administrative support to Practice Administrator:

  • Under minimal supervision and with significant latitude for independent judgment and initiative, serves as principal assistant to satellite Administrator. Supports the tasks of the general office including U.S. mail (incoming and outgoing) distribution, coordination of on-site facility maintenance including housekeeping, garbage / recycling, snow removal and lawn service

Supervisory Responsibilities:

  • Manages a team inclusive of Outpatient Access Specialists, Outpatient Access Lead, Physician Support Specialist, Ophthalmic Technicians. Selects, assigns, supervises and trains staff. Prepares onboarding and training plans. Initiates personnel actions. Provides visionary leadership and coaching-style management to support staff goals/objectives which align with operational objectives. Provides continuous performance feedback, initiates performance improvement measures, conducts annual performance reviews, and initiates any appropriate disciplinary actions

Purchasing / Inventory

  • Oversees office equipment maintenance, office supplies inventory and ordering of business office supplies through approved vendors (ie. Staples Advantage, Oser Press, etc); maintains up-to-date purchase orders (POs) and renewals as needed; serves as liaison for the department to track purchases and maintain records of receivables for reconciliation purposes.

Support to billing operations:

  • Responsible for daily reconciliation of billing encounter forms, ensures all encounters are reflective of services rendered and signed off by providers; responsible for transfer of encounters to FEI Central Billing Office as directed by billing manager’s documented processes for end of day reconciliation; maintains database for billing operations for satellite office (ie. Injection log / laser log / surgery log).

Preauthorization of benefits:

  • Responsible for obtaining preauthorization for surgical procedures and injections as necessary; follow through with payors as needed to ensure all pre-required paperwork, approvals, preauthorization numbers have been collected to ensure proper payment and reduce denials.

Other:

  • Provide administrative support to optician including, but not limited to, finance form processing, patient communications; other tasks as requested to ensure efficient daily operations and sustainable growth of the optical shop enterprise.

REQUIREMENTS:

College graduation or an equivalent combination of experience and training. 1 year of relevant administrative experience
