Plans, directs and coordinates day-to-day program logistics including supervision/setting priorities for two secretarial staff positions. Serves as administrative agent or business manager for HRD, including contributing to budgetary decision making processes. Demonstrates competency in decision making processes, effective communication, problem solving, presentation and negotiation skills. Applies cutting-edge customer service to assure lffi.D is visible and credible throughout the organization. Functions as process owner for one or more of HRD's work processes and maintains HRD's guidelines for operation. Creates, interprets and distributes all information system reports as necessary. Consistently models appropriate work team behaviors.
Under minimal direction and with latitude for independent judgment and initiative:
Directs, coordinates and monitors efficiency, effectiveness and quality of systems that support University-wide initiatives, including creating systems workplan, coordinating and troubleshooting classroom logistics, instructors' schedules and participant's special needs. Delivers educational programs, conducts focus groups and/or attends related meetings University-wide lo support organizational initiatives as needed. Works closely with HRD Manager and external customers to ensure all program components work cohesively.
Partners with internal and external information system supplies to identify needs, select and customize information systems to meet department and university requirements. Develops, maintains and updates the data information center which includes, but is not limited to, responsibility for the management information related to university-wide initiatives, including the supervisory and staff education database (lngenium), administration of the classroom registration process and oversight of mandatory compliance data collection. Responsible for analyzing and interpreting data and providing daily and specialty reports to external customers, including regulatory agencies (JCAH0). Responsible for training HRD staff in new information system procedures.
Directs, coordinates and monitors quality of daily secretarial staff work; responsible for troubleshooting and re-prioritizing of assignments when necessary. Provides feedback on performance as necessary and assists Manager in conducting yearly, formal performance review.
Directs and coordinates maintenance of departmental accounts. Prepares data for financial reports, including reports on costs associated with special programs or projects. Prepares analyses and allocates expenses. Coordinates expenditures and property controls, reviews and approves invoices, payroll and other personnel actions. Communicates and interprets policies, procedures, and services for lffi.D with emphasis on problem solving related to conce rns.
Oversight of special projects including the responsibility for coordination of the budget, staff and external customers associated with that project. Assists in determining equipment needs and makes allocations with the department or project. Initiatives or authorizes orders for space, equipment, supplies and services. Recommends the purchase orrepair of major equipment. Maintains liaison with respect to maintenance, custodial purchasing and other central services.
Bachelor's Degree in education or related field and 2 years experience in education, training or orientation experience, or an equivalent combination of education and experience.
