GENERAL PURPOSE: The Director of Admissions has primary oversight of the operations of the URSMD Office of Admissions and the processes for reviewing applications, arranging interviews, and overseeing the administration and organization of a complex schedule of meetings involving multiple committees. The Director works with the Faculty Associate Dean for Admissions to select and enroll a diverse class of 104 students within a tight window between September and June. Works closely with faculty and staff who support the admissions process, students applying to the URSMD MD-PhD program, the MD-MBA and the BA-MD program. The Director coordinates with the Office of Medical Student Inclusion and Enrichment Programs in a shared effort to recruit a class of future physicians whose backgrounds and experiences reflect the diversity of the patients they will serve. SPECIFIC RESPONSIBILITIES:


Oversees the recruitment of students to URSMD which includes screening applicants for interviews, providing information on interview days, interviewing applicants, participating on the Admissions Committee and assessing for scholarship potential in applicants. This role is the primary liaison for the AAMC and AMCAS contact and requires developing and maintaining relationships with these national organizations in addition to participating in feeder school regional and national committees. Manages Special Programs (EAP, REMS, MD/MBA, post-baccalaureate programs and OMFS) including updating linkage agreements, data bases and oversees their application cycles. Provides oversight to the Marketing and Interview Coordinator regarding development of virtual and in-person events. Presents URSMDs admissions data biannually at national meetings. Administers and assesses recruitment evaluations and implements solutions as needed.

Keeps abreast of national trends and best practices related to admission through professional memberships, national webinars, consortium groups and regional and local meetings.


Works collaboratively with the Registrar, Bursar, Student Service Offices and IIE with onboarding of students. Onboarding needs include but are not limited to identity management, transferring of matriculating student data to/from appropriate departments, and criminal background checks and co-coordinating the annual White Coat Ceremony. Advises on details of unsuccessful matriculation as needed. Participates in training and reviewing committee performance for interviews and evaluations. Supervises and participates in “Second Look.”

Financial Administration:

Develops annual budget, approves projected proposals, and oversees and approves spending and adjustments.

Human Resources:

Manages HR needs including, but not limited to: approving hiring decisions, training, time approval, ongoing supervision, personnel issues and actions, and conducts performance reviews. Reviews, recommends, and completes policy updates, administrative changes, and credentialing issues pertinent to the SOM.

Data Base and IT Maintenance:

Works with IIE to envision and develop processes that maintain and/or augment the recruitment process and national standing. Maintains admission data for AMP, MedSIS, and longitudinal databases and works in partnership with AMCAS, IIE, and third party application system to complete updates. Acts as contact person with organizations supporting the admission process.

Data Analysis:

Generates weekly status reports for Admissions Committee, annual reports to the Dean and Provost, and a class profile with yearly statistics. Reviews and interprets yearly AMCAS aggregate data reports and makes adjustments to invitations, recruitment strategies, and programs as required. Assesses and updates yearly Medical Student Admission requirements. Provides subgroup analysis with recommendations for interview and acceptance readjustments. Responds to data requests from within the University for grant applications and University reporting. Reviews reports created by Marketing and Interview Coordinator and takes action as appropriate.


Oversees Marketing and Interview Coordinator and assists, as necessary, with reviewing digital information for web-based platforms. Approves marketing materials and interviewer newsletter. Adjusts processes and adapts resources as needed to recruit and matriculate future physicians with the qualities and abilities necessary for the practice of medicine in the future.

REQUIREMENTS:Bachelor's degree in Behavioral Science or similar; Master's Degree preferred. 3-5 years of experience in admissions, health care professions and some familiarity with computer information systems; or an equivalent combination of education and experience. Strong oral and written communication skills with the ability to handle competing priorities; Working knowledge of Microsoft Office; Proficient with social media and web programming preferred; Ability to work both independently and as part of a team.
