Responsibilities

General Purpose:

Provide administrative support for Psychiatry Education with primary focus on the Addiction Psychiatry Fellowship Program (50%). This position, deals with confidential matters, provides administrative support to Addiction Psychiatry Program Director and Fellow. This includes time management, prioritizing competing demands and delegating matters as appropriate. With wide latitude for initiative and independent, mature judgment, candidates for this position gather and interpret data and prioritize information regarding the Addiction Psychiatry Fellowship, fellows, and faculty.

Provide administrative support to Psychiatry Grand Rounds, IMIPs Division Didactics, and continuing education related activities within the Department of Psychiatry (50%).

Responsibilities:

General Program Administration of the Psychiatry Fellowship

  • Manages the day to day activities of the training program. In collaboration with Director, develop, coordinate and maintain educational curriculum, including rotation goals and objectives, evaluations and scheduling. Routinely review educational activities/rotations to ensure they meet program goals/objectives and ACGME/ Specialty Board requirements.

Psychiatry Fellowship Data Management and Program Enhancement:

  • Obtain and maintain “expert level” knowledge of MedHub. Train fellows, faculty and administrators. Act as liaison to the Department of Psychiatry Education Office and GME Office for ERAS and Thalamus software updates, reporting and troubleshooting. Accurately and securely maintain all trainee files.

Psychiatry Fellowship Recruitment:

  • With attention to streamlining operations and utilizing technology, manage the application, inquiry and interview process for the fellowship program. Arrange for, oversee and manage accommodations, events, refreshments and supplies for fellowship recruitment efforts. Organize and execute each interview day experience for qualified candidates for fellowship.

Department of Psychiatry Continuing Education Coordinator

  • Administer Grand Rounds, the premier lectureship for the Department of Psychiatry, as well as IMIPs Division Didactics and special events involving continuing education credit. Track and report credit for all continuing education activities. Maintain all paperwork necessary for the approval of activities. Work with the University's CME office to obtain approval for credit. Prepare quarterly reports for all credit bearing activities within the Department of Psychiatry Assist Education Administrator with the preparation of the annual Grand Rounds application for the University's CME Office as well as the applications for Psychology, LMFT, and MHC continuing education credit to the New York State Education Department (every 3 years).

Other duties as assigned

Qualifications:

  • College graduation or an equivalent combination of experience and training.

  • 1 year of relevant administrative experience.

  • Three years of related work experience, preferably in an academic setting (preferred)

  • Writing skills are essential, in addition to strong organizational, interpersonal, technical and computer skills, with the ability to easily learn new software and web-based applications. Must be able to handle multiple competing demands and prioritize on short-term and long-term projects.
