Under the general direction of the Sr. Education Administrator of the School of Nursing, with latitude for independent judgment, the faculty workload administrator will be responsible for managing the annual faculty effort assignment process and maintaining the faculty information system for the education mission in the School of Nursing. Independently performs duties involving thorough knowledge of the SON workload model, courses, programs and faculty appointments. Manages collection and evaluation of data from key stakeholders, including the Assistant Dean of Education and Program Directors, to develop annual faculty assignments including teaching assignments, administrative effort, advising effort, and other effort in the workload model and tracks changes throughout the year. This position will also work to ensure faculty appointments and compensation are accurate and processed in an effective and efficient manner.


  • Coordinates the teaching assignment process for all courses in the School of Nursing. Includes creating and sending teaching preference forms, organizing and analyzing preference form results with Assistant Dean and Program Directors, monitoring unassigned courses, recommending solutions to remediate faculty over and under-assignments, ensuring data integrity for the workload model, managing the release of faculty assignments to 70-90 faculty and reconciling the data to associated systems such as UR Student (student information system). Troubleshoots faculty inquiries related to workload. Responsible for monitoring shared email ticket system, analyzing and recommending solutions and responding to resolve discrepancies

  • Process manager for annual faculty assignments (workload process). This includes working closely with Assistant Dean of Education, Education Finance team, and Program Directors, to ensure the overall process timeline is maintained. Responsible for keeping Assistant Dean and Sr. Education Administrator informed on progress and opportunities for process improvements. Creates and maintains process calendar for key dates and deadlines that is easily sharable and understood.

  • Monitors all changes to faculty assignments throughout the year. Creates and manages tracker system that ensures automated notifications related to changes reach key stakeholders within the school including Registrar, Payroll, and individual faculty. Creates standard and ad hoc reports from the workload model and analyzes and shares results.

  • Working closely with the Business Education Analyst and Payroll Specialist, ensures faculty are properly paid for their effort associated with the School of Nursing. This includes assisting Payroll Specialist with compensation questions arising from annual assignments and changes to assignments as well as working with other department payroll contacts regarding joint appointment details. Facilitates faculty contract process.

  • Manages new faculty hires and faculty status changes for all types of appointments (full-time, part-time, joint, TAR, academic and annual). Includes posting positions in conjunction with SON Personnel Administrator and Payroll Specialist, informing appropriate offices within the SON, and ensuring new faculty onboarding is successful.

  • Working with the School of Nursing Registrar, CERC Administrator, and Room Scheduler, manages Summer, Fall, and Spring course scheduling process.

  • Other duties as assigned


  • Graduation from college or an equivalent combination of experience and training required.

  • 3 years of related work experience including at least 1 year in an administrative capacity in an academic office or project management, or the equivalent experience in business required

  • Excellent analytical, organizational, communication skills and attention to detail required. Position requires applicant to have strong Microsoft Office skills. The applicant needs to have the ability to work in a fast paced environment within tight deadlines. Experience using Smartsheet a plus.

  • Intermediate Knowledge of Excel (comfortable with Vlookup, Sumifs and Pivot Tables) highly preferred
