Global Visitor Program Manager

GENERAL PURPOSE:
This position will serve to manage and coordinate the Global Visitor Program (GVP) for students and provide support for short-term visitors and students on sponsored programs such as Fulbright at the University of Rochester. Working across multiple schools, departments, and units, this position will serve as the primary contact for all aspects of the GVP program, including but not limited to, application management, training and program promotion, onboarding, and collaboration with key offices and sponsoring departments hosting short-term sponsored visitors.
RESPONSIBILITIES:
PROGRAM MANAGEMENT
Maintain annual operational processes for visiting student program.
Oversee application cycles and application management
Send routine correspondence to faculty hosts regarding all aspects of the application including application links, offer templates, and instructions for next steps in the process.
Serve as primary liaison with required student service offices for all aspects of the visiting students’ onboarding.
Serve as point of contact for departments/schools hosting short-term visitors on sponsored programs and serve as primary liaison with program sponsors such as Fulbright. This includes coordinate any logistics, programming, orientation, and resources
Serve as the Designated School Official (DSO) and Alternative Responsible Officer (ARO) for DHS and Exchange Visitor Program of the Department of State. This involves generating immigration documents, sign documents, and immigration advising on enrollment, immigration regulations, and procuring visas
Manage assigned budget and recommend additional resources
PROGRAM ADMINISTRATION
Coordinate data entry of admitted GVP students in the Student Administrative Support System (SASS) with the Registrar’s Office.
Respond to and resolve application questions and problems in a timely manner.
In collaboration with Sr. Student Immigration Adviser determine students’ (GVP) scholarly relationship to the University to best determine the proper visa type.
Process students through Visual Compliance to ensure export control and other federal compliance screening.
Coordinate immigration document issuance with Sr. Immigration Adviser and Scholar and Employee Services team.
Generate reports on applications and admitted students; identify trends and share with leadership team.
EDUCATION AND OUTREACH
Develop outreach and perform regular training for schools and units on the visiting student process.
Plan and implement orientation programming and other support and engagement for visiting students and other short-term visitors.
Set annual goals that align with strategic global vision and mission for the academic year.
Conduct surveys to gauge feedback on operational processes, orientation, and services for students, staff, and faculty for assessment.
RELATIONSHIP DEVELOPMENT
Collaborate with campus partners (e.g. College Center for Advising Services (CCAS) and graduate schools) in the coordination of support services relating to arrival term dates and course registration.
Maintain a working knowledge of current academic and administrative policies specific to each school/unit.
Cultivate a detailed and current knowledge of immigration regulations, government policy, and legal resources through regular review of published guidance and professional network communications.
Other duties as assigned
Any projects, data requests, or policy guidance needed for internal stakeholders and colleagues.
QUALIFICATIONS:
Bachelor’s degree required
Master’s degree preferred
2 years professional experience required
Experience working with visitor programs and/or in an international services office preferred.
or equivalent combination of education and experience
Ability to communicate effectively with people from different cultural backgrounds; excellent organizational skills, time management, interpersonal, written and oral communication skills required.
Knowledge of communication plan development. Ability to see both long term and immediate needs. Ability to prioritize without direction required.
Familiarity with Student Information Systems including; Terra Dotta, Workday, Slate, URCompass, Web-based applications preferred.
Knowledge of immigration and exchange visitor requirements for F-1 and J-1 statuses preferred.

Pay Range
Pay Range: $58,800 - $82,300 Annually
The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
