Automated Lab: Hematology & Chemistry Secretary Responsibilities

  • Scheduling: Day Shift, Evening Shift, (potentially night shift in future)

    Schedule Medical Technologists for weekday shifts, weekend shifts, and holidays. Obtain coverage for any vacancies during these shifts. Responsible for maintaining a reverse seniority list that is utilized in case adequate weekend coverage is not obtained via sign-ups; responsibility for notifying employee at minimum one week in advance if they will be required to fill the vacancy that has not been filled. Manages Vacation log book and approvals/denials of vacation requests. Monitors weekend switch requests and adjusts schedules accordingly as approved by department supervisor.

  • HRMS Timekeeper

    Reviews all Automated Lab hourly employees for accurate swipes, vacation time, PTO time, on-call pay, and any leave pay (disability, fmla, pfl, jury duty, etc). Maintains HRMS log book and inputs any information needed. Reviews for accuracy prior to bi-weekly supervisor approvals of time for end of pay period.
  • Meeting Minuyes

    Responsible for taking minutes for the following meetings at this time:

  • Hematology Huddles

  • IHN Chemistry

  • Lab Relocation

  • Staff Meetings

  • Other meetings per requested by department supervisors.

    Completed minutes should be sent to supervisors for edits/corrections before going to staff.

  • Staff Birthdays

    Responsible for providing a monthly birthday treat/celebration for all staff at least once per month.

  • Employee Attendance Tracking

    Must track the following for all hourly employees:

  • Calls in Absent

  • FMLA Leave (employee must report to myself or their supervisor)

  • Bereavement Leave

  • Tardy > 5 mins (note “acceptable” as well. e.g. snow storm, fam emergency, etc)

  • In Early > 5 mins

  • Called to be late (should be done if late more than 10 mins)

  • Missed Swipes

  • Left > 5 mins early (unless approved by supervisor)

  • Left > 5 mins late (note if approved by supervisor – see red tracking book)

  • Holiday No Pay

  • No Call/No Shows

  • G-1513 Conference Room

    Responsible for maintaining calendar and printing daily schedule to post outside of the room.

  • New Employee Orientation

    Provide new employees orientation to the department to include the following:

  • Review Department Policies: Scheduling policies, dress code policy

  • Complete emergency contact information

  • Sign signature log and maintain this log

  • Complete at minimum the following new employee mandatories with me: HIPPA and iCARE

  • Ensure parking permits obtained if necessary

  • Review benefit enrollment information

  • Review Pathology SharePoint sites

  • Give overview of HRMS

  • Show location of HR & Clinical Lab policies

  • Give Tour of lab and hospital areas

  • Set up Soft Access

  • Assign Locker and maintain locker lists

  • Email employee’s supervisor for eRecord access

  • Request SharePoint Access

  • Request appropriate door swipe access through gatekeeper

  • Lab Coats

    Order new lab coats, maintain existing lab coats for employees through Cintas. Provide weekly bill to accounts payable.

  • Disability/Return to Work

    Responsible for completing return to work form for employees returning from short or long term disability.

  • Quarterly Break Room Fridge

    Ensure that the Lab’s quarterly fridge cleaning responsibility is taken care of. Print save stickers, make announcement, and get employee assistance.
  • Upon Supervisor Request (miscellaneous items)

    Responsible for any of the following on an as-needed basis:

  • Schedule meetings

  • Schedule interviews

  • Schedule/plan employee celebrations (baby showers, bridal showers, employees leaving, staff appreciation, retirement parties, etc)

  • Extract data from DI for data analysis

  • Input SMH Chemistry IHN Bias data (generally quarterly)

  • Review and produce reports, graphs, analysis for projects needed (Turn-around-times for ED STAT tests, lab relocation project , update med training tests, etc)

  • Any other administrative tasks as needed upon supervisor request

  • Items currently handled by AutoLab Secretary, but not required:

  • Pathology Apparel Sales (Spring & Fall Sale)

  • Pathology Employee Appreciation Committee member

  • Lab week gift coordinator
