Provide clerical and technical support for department’s clinical staff. Greets, directs and assists patients, visitors and other members of the University community. Informs patients and others of departmental and University policies and procedures. Answers telephone, take messages, registers patients, schedules appointments, signs in, checks out and bills patients for their visit or supplies. Takes and records vital signs, documents medical information, completes medical forms and requisitions, sets up stocks and cleans examination rooms, performs various diagnostic and lab procedures. Maintains a working knowledge of procedures at the Medical Center Office and the River Campus Office.

Machines and Equipment Used:
Standard office equipment and medical equipment, instruments and components typically used in an ambulatory care setting such as multi-line telephone and phone mail, executone, personal computer, printer, copy machine, facsimile machine, calculator, sphygmomanometer, electronic thermometer, electrocardiogram machine, pulmonary function machine, pulse oximeter, sigmoidoscope equipment and visual acuity equipment, pneumatic tub system, (Sigmoidoscope and pneumatic tub system not applicable at RCO), phlebotomy equipment (needles, tubes, syringes, etc.)
Under general discretion and with some latitude for independent judgment:
Checks patients out after their appointments. Uses computer to bill responsible party for rendered services, enters or updates patients’ insurance information, requests and collects payment for patients’ fees, makes change, posts payments and prints patient receipts. Schedules follow-up or special examination appointments. Informs patients about insurance and department’s billing policies or procedures. Audits daily transactions. Performs credit card sales and daily closes using a merchant data terminal. Has the knowledge to follow up on procedures or situations that are not being done as defined by UHS protocol.
Processes patients from waiting room to exam room. Takes and records patient’s chief complaint and necessary vital signs, such as weight, blood pressure, temperature, pulse, respiration, pain assessment and eye examination. Completes corresponding paperwork and supplies and needed forms and equipment by providers. Maintains providers’ patient schedules. Updates changes, informs patients and providers of delays and informs those providers behind schedule the number of patients waiting. Anticipates needs of patients and providers and reacts accordingly. Has the ability to report inefficiencies in processes and can make suggestions for improvement. Works one on one with an assigned provider(s) but has the knowledge and the flexibility to work with additional providers or other providers.
Greets, directs and assists patients, visitors and members of the University community. Provides information and answers questions about departmental and University policies and procedures. Has the knowledge to use internal and external resources to follow-up more complex questions or situations.
Answer’s telephone, provides accurate direction and information, transfers calls appropriately or takes complete messages. Requests medical charts from Record Room, matches received charts with messages and forwards to appropriate nursing/provider staff. Has the ability to question whether a patient or callers request is urgent and who to turn to for answers.
Sign-in patients for their appointments. Identifies patient and provider to be seen. Verifies address, phone numbers and insurance information. Records arrival and forwards chart. Informs patient of delays or reschedules if patient arrives too late. Records and informs staff of schedule changes. Keeps chart for scheduled appointments in time order. Informs nurses or providers of perceived unusual situations.
Registers new patients and schedules appointments on computer using departmental guidelines and resources. Prints appointment memo’s and encounter sheets to appropriate printers to inform Record Room, MOA, and Provider staff of schedule add-ons. Cancels appointments on computer, completes Appointment Canceled slips and forwards to Providers. Complete and forwards Non-Primary Care Provider Appointment Memos for patients scheduled with provider other than their Primary Care Providers. Sets up, stocks and cleans examination rooms. Maintains adequate level or forms, medical supplies and pamphlets in exam rooms. Cleans boarding and straightens waiting room. Inventories storage and supply areas, orders, receives and restocks supplies; checks their receipt and verifies against monthly statements. Keeps specialty trays stocked with appropriate supplies and medications. Notifies appropriate staff if supplies are low. Prepares instruments for sterilization and checks for their return. May assist with pharmaceutical representatives.
Reviews medical charts for completeness and performs quality improvement activities. Makes suggestions for potential activities needing review.
Assists in orientation and training of new Medical Office Assistants and student interns and serves as a resource for Medical Office Assistant I’s.
Performs other duties as assigned. Two days on calls.
Medical Assistant degree or certificate and 2-3 years experience in clinical setting, or an equivalent combination of education and experience. Phlebotomy skills strongly desirable.
