Responsibilities

Position Summary:

Interlakes Oncology and Hematology (IOH) Outpatient Access Specialist / Medical Secretary performs duties as required by departmental needs. Achieves and maintains proficiency in provision of excellent customer service, always in a friendly manner, accuracy of data and efficiency of work. Is proficient using all relevant computer systems, e.g. Cadence, eRecord and OnBase. Functions as a resource for all new staff.

Machines and Equipment Used:

Standard office equipment including but not limited to, telephone, fax machine, copiers, personal computers, terminals, printers, and scanners. Also, must multi-task proficiently using all relevant computer systems. May use additional clinic equipment.

TYPICAL DUTIES:

  • 35% Scheduling Expert:

Skillfully coordinates and maintains multiple schedules. Adheres to Interlake’s Clinic and Infusion Scheduling Guidelines. Utilizes Snap Boards. Avoids over-booking. Uses forward thinking and monitors changes in availability and overbooking prior to OAS Lead asking for changes.

  • 35% Excellent Customer Service and Communication:

Serves as a first line interaction with patients and other customers. Triages phone calls accurately. Assess call urgency and determine appropriate communication. Coordinates patient procedures and tests and communicates details to patients clearly. Provides support to peers including training, other disciplines, UR departments and outside entities.

  • 10% Proficient use of all relevant UR computer systems, e.g. Cadence, eRecord and OnBase:

Takes initiative to update patient insurance and registration information, enters patients HIPAA information into eRecord. Obtains patient information for ambulatory clinic visits. Scans information accurately.

  • 10% Efficiency with Referral Coordinator Work Queues and Work Lists:

Efficient in Referral Work queues, monitors work lists, no show, rescheduling and confirmation lists. Excellent follow through with documentation in the patient’s electronic medical record.

  • 10% Adherence to Policy and Processes:

Adheres to Interlake’s/UR Policy and Process – Including but not limited to - Medical Records, Quick Release, Distress Screening, Reschedule, No Show, Office Closures, Patient Photos, HIPAA, and Managing Work queue Process, Etc.

Qualifications:

High School diploma and at least 2 years related work experience; or an equivalent combination of education and experience. Medical terminology experience required. Demonstrated ability to create a word document and enter data into a database. Demonstrated skills related to achievement of customer satisfaction. Demonstrates ICARE values to patient, families and staff. Ability to act as a resource to less experienced staff.
