General Purpose:

Under general direction of the University human resource policies and accounting guidelines, serves as the Outpatient Access Specialist for the University Dental Faculty Practice. Responsibilities include payment collection and posting payments, registration and scheduling operations. Works closely with the providers and the administrator for this site.

Supervision and Direction Received:

This position reports to the Practice Manager for the University Dental Faculty Group and indirectly to associated Senior Leadership of the University Dental Faculty Group at Clinton Crossings location.

Knowledge and special skills :

Knowledge of dental procedures and terminology for general dentistry for children and adults as well as specialty dental services such as oral and maxillofacial surgery, orthodontics, prosthodontics, periodontics, etc. helpful, computer literate, understanding of dental and medical insurance. Must be organized, mature, reliable and professional. Ability to work with diverse individuals. Must adhere to department dress code. Some college education would be beneficial.


Prefer 2-3 years experience in front reception responsibility and medical/dental billing. Familiarity with axiUm or other dental software packages would be helpful. Dental office experience would be beneficial.

Billing, Financial Counseling and Collections 25%

  • Works closely with providers at the site. Makes appropriate referrals to Treatment Plan Coordinator for financial counseling of patients. Uses current on-line dental insurance processing tools to identify and collect co-payments at time of service.

  • Collaborates with Billing Specialists and Site Treatment Coordinator to collect expected co-payments at check-in. Performs end-of day reconciliation process.

  • Receives and responds to patient questions in regard to dental and medical billing or refers appropriately.

  • Communicates effectively and professionally with patients, faculty, staff, vendors, Dental Central Billing Office to improve office efficiency.

Scheduling and Registration of Patients 25%

  • Reception: Greets patients to initiate positive ambulatory experience, identifies healthcare provider to be seen, directs patients to next destination, obtains signatures as needed (e.g., for insurance forms), identifies and assesses patients’ special needs (e.g., interpreters), monitors reception area to ensure patient needs are met.

  • Registration: Collects patient demographic and financial information in an efficient, customer oriented manner, asks specific questions of patient to verify information accuracy to ensure a billable account is established, enters information into axiUm information system.

  • Enters miscellaneous charge data when required.

  • Appointment Scheduling: Schedules new and return visits, monitors schedules and reports problems to supervisor, pre-registers patients for next visit, coordinates appointments for ancillary testing or referrals to other clinic sites, follows-up missed appointments and cancellations, completes any correspondence or forms involved with appointment scheduling, schedules interpreters, schedules outside services to meet patient’s needs (e.g., transportation), ensures patient satisfaction with visit prior to discharge.

    Telephone Management : 20%

  • Manages incoming clinic calls, triages calls to various providers.

  • Responsible for courteous and efficient telephone communications.

  • Provides information to patients in order to minimize the need to distribute the telephone

  • call, forwards calls, contacts providers when appropriate and takes messages.

  • Triages urgent patient calls, assesses the situation with the aid of a dental assistant or Provider Support Specialist to determines the appropriate action or appropriate person to talk to, serves as a focal point for handling complaints, serves as front-line problem solver.

  • Confirm, cancel and reschedule dental appointments. Proficient in master scheduling.

    Clerical Duties : 20%

  • Performs miscellaneous tasks as assigned by the Supervisor. For example, provider schedule changes, insurance payment logs, simple statistics, petty cash drawer.

  • Continually monitors Provider Schedules to ensure accurate referrals are obtained and noted and financial responsibilities are added to scheduling notes.

  • Collects Mail, sorts and distributes as needed.

  • Edits and corrects registration errors, completes missing registration data, ensures accuracy of patient schedules, identifies ways to reduce repetitive or corrective work.

  • Monitors practice email box for referrals.

Other Duties as Assisgned 10%
