General Purpose:

Coordinates functions associated with patient information processing for Sleep Lab and acts as a resource to staff performing those functions. Monitors and ensures that all functions are completed in an accurate, efficient, and customer friendly manner. Providing a high degree of customer service, register patient arrivals in EParc and complete insurance pre-authorizations. Complete database management, scan documents into E records and provide reminder phone calls for upcoming appointments. Demonstrates ICARE* values in each of the major responsibilities.

Major Responsibilities:

30% Arrive all Sleep Lab patients (overnight studies). As patient arrives verify demographic and insurance information. Schedule appointments for follow up using the EParc system. Review EParc for privacy statement and provide to patient/parent if needed. Check in/out patients. Collect copayments. Reconcile encounter forms to clinic schedules for completion and accuracy; correct errors and/or obtain missing information in preparation for submission to Pediatric Billing Office.

30% Maintain databases for schedules and QA/QI projects. Enter sleep studies data such as but not limited to who scored and who interpreted studies and dates for review by Division Chief. Input schedules for sleep techs for consultations and sleep studies, using EParc.

20% Direct mail to appropriate medical provider, and insurance companies as needed for prior authorizations. Sort and scan faxes and print outs. E-mail to be checked multiple times per shift and responses sent in a timely manner.

10% Make patient reminders calls for day and night appointments 2 days in advance for physicians.

10% Obtain prior authorizations for outpatient consult appointments. Update referrals as needed in EParc.

Required Competences: Demonstrates skill in communication involving extramural agencies, offices and medical providers. Demonstrated efficiency in prioritizing assignments, skill in proactively resolving problems and recommending and implementing continuous quality improvements. Full knowledge of Microsoft Office products, EParc/E records. Knowledge of E-Records preferred. ERecord training prior to go live is essential for this position. Must have reliable/efficient transportation.


1 year related work experience in an administrative office or customer service field; or an equivalent combination of education and experience. Medical terminology experience Medical terminology experience preferred. Demonstrated ability to word process documents and enter data into a database. Demonstrated skills related to achievement of customer satisfaction. Demonstrates the ICARE values to patient, families and staff. Ability to act as a resource to less experienced staff.

Equipment: Computer, Fax machine, label maker, scanner, printer, copier, telephone.
