Position Summary:

This Project Coordinator will provide administrative support for a five-year NSF-sponsored training program on augmented and virtual reality at the University of Rochester. The Project Coordinator will be responsible for the day-to-day operation of the program with 60% (3 days/week) time commitment. The position has an immediate start date and an end date of 08/31/2024, with the possibility of up to a one- year extension.


Providing coordination and support for the NSF-sponsored training program

  • Provide support for all administrative tasks involved in this Ph.D. training program, as well as for the courses offered as part of this program .

  • Provide information to trainees and prospective trainees about the program, guide them on resources related to various aspects of the program including professional development resources on campus.

  • Manage, monitor, and ensure the completion of all paperwork and processes related to the trainees involved in the program, including trainee contracts, advisor assignments, internship processes, trainee progress monitoring, mentoring activities, professional development activities, and program completion certificates.

Updating website and social media

  • Manage and update the program web site and social media channels. Announce all program events.

Acting as event and program coordinator

  • Manage the logistics of the Annual Program Showcase.

  • Arrange program faculty meetings.

  • Arrange the logistics of External Advisory Committee meetings, including travel arrangements and online meetings.

  • Make travel arrangements and reserve lecture rooms for invited speakers.

  • Make purchases as needed in the program.

Acting as administrative assistant

  • Serve as a secretary to the Executive Committee: arrange its meetings and keep meeting minutes.

  • Help with the preparation of annual program activity reports.

  • Support the data collection process for program assessment activities.


Bachelor’s degree and 2 years work experience or a comparable combination of education and experience. Proficiency in Word, Excel, PowerPoint, and Outlook required. Knowledge of social media platforms, particularly Facebook, LinkedIn, and Twitter, preferred. Understanding of web-based technologies, including basic working knowledge of WordPress. Strong customer service, communication, interpersonal, and time-management skills are essential. Experience with event planning and office management a plus. Position requires excellent organization and attention to detail. The successful candidate will be proactive, a self-starter, with a strong commitment to higher education. Previous work in an academic and/or office setting a plus.
