Responsibilities

Position Summary:

Reporting to the AVP for URMC Communications, the Manager for the Clinical and Translational Science Institute (CTSI) Communications serves as a strategist, high-level subject-matter expert, senior writer and content creator. Working closely with CTSI leadership, supports development of effective communication plans and delivers high-quality, timely, engaging content that measurably helps to achieve institutional goals.

Job Responsibilities:

Communications Strategy and Service-line Support

  • Serves as a subject-matter expert who works to publicize and promote the research, education, and specialized clinical research missions of the CTSI. Maintains relationships with top faculty and staff, attends important meetings, monitors publications, and takes other steps to stay current with CTSI activity and the field of translational science overall.

  • Collaborates with the Marketing Strategist to develop and implement annual marketing communications plan to support CTSI strategic objectives. Develops and leads execution of program and project plans that support the annual plan.

  • Generally serves as senior writer and content creator for CTSI.

  • Gathers information to develop content by interviewing faculty members, staff, patients, and community stakeholders. Judges newsworthiness and usefulness for external and internal channels, and routes work through CTSI sources for editing and clearance, assuring deadlines are met.

Communications Planning and Consulting

  • Serves as a communications “consultant” and creative contributor for CTSI projects including but not limited to faculty hires, major achievements / awards and events. Consultative elements include, but are not limited to: developing communication plans, identifying target audiences and matching to appropriate channels, outlining and/or implementing strategies and tactics such as pamphlets, brochures, presentations, videos, bulletins, fliers and other content.

Content Creation and Execution

  • The Manager for CTSI Communications manages and executes an individual portfolio of communications projects.

  • Develops and writes content aimed at CTSI internal and external audiences. This includes but is not limited to social media posts, online stories, newsletter articles, website copy, video scripts, email memos, infographics, and standard PowerPoint presentations.

  • The Manager is a content generator -- while some assignments are received from a CTSI leader, most are uncovered and all are implemented with a high degree of independent creativity. Work is occasionally subject to review by a supervisor.

  • Serves as editor and writer for CTSI Annual Report, ensuring content is well-written and engaging for CTSI alumni and donors. Works with photographer, designer, and Advancement on production and distribution.

  • Serves as content creator and administrator for CTSI Facebook, Twitter, and Instagram accounts.

  • Serves as a senior writer for CTSI leadership materials, including talking points, PowerPoint presentations, video scripts, Q&A documents and related materials for strategically important and/or high-profile communications. Work is reviewed by CTSI leadership and/or supervisor.

  • As needed, assist with writing/editing for other projects (e.g., award nominations).

Publicity Support

  • Supports local, national, and international publicity via traditional print, broadcast and online media outlets. Includes earned-media outreach via news releases, events, media pitches targeted to strategically identified, high-impact reporters and outlets, phone calls, and bylined opinion pieces or feature stories.

  • Responds to media queries by facilitating interviews, preparing media statements, and answering questions. Occasionally provides publicity support for stories, departments, and programs outside CTSI as needed.

  • Assists the AVP for Public Relations in drafting materials to manage communications response to issues that could negatively impact CTSI reputation or reduce support from external or internal audiences.

  • Provides incident command center support for emergencies and drills.

Administration and Management

  • Works with CTSI team and supervisor to assess daily, weekly and monthly priorities, and directs work to align with these priorities.

  • Participates in department meetings as assigned.

Other duties as assigned

Qualifications:

  • Bachelor’s degree in communications, journalism, or related field that includes some writing experience required

  • 7 years of relevant experience;

  • or equivalent combination of education and experience.

  • 10 years of professional communications experience (preferred).

  • Experience creating and implementing strategic communications plans.

  • Understands and ensures compliance with HIPAA requirements and policies for protecting patient privacy and other confidential information.

  • Demonstrated proficiency in writing and editing content based on target audience, with ability to provide context and/or reshape material as needed in a fast-paced, high-demand environment.

  • Strong organization and project management skills.

  • Strong written, oral, and interpersonal communications skills; comfortable talking to all levels of faculty/staff, and in front of groups.

  • Ability to work independently and as part a collaborative team.

  • Available on-call for responding to overnight or weekend media requests on a rotating basis.

  • Experience with HTML programming, content management systems, data analysis, metrics presentations, photo and video capture/editing, PowerPoint presentations and/or graphic design (preferred).
