Responsibilities

Position Summary:

Serves as receptionist and provides secretarial and clerical support for the Fellowships Office and the office of Undergraduate Research. Manages relevant databases and prepares reports, graphs, and tables using these data. Maintains websites and promotional materials for both offices. Assists with ongoing projects and such annual special events as the Undergraduate Research Expo and the Fellowships Reception. Excellent organizational and interpersonal skills, attention to detail, and sensitivity to the needs of students and faculty are essential.

Responsibilities:

  • Data entry/file management/organizing and tracking applications/preparing materials for advisors and committees/preparing reports

  • Greeting/answering phone/scheduling appointments/checking phone messages and mailbox/maintaining staff calendars

  • Event planning/scheduling committee meetings and info sessions/reserving rooms

  • Tracking office expenses/ordering office supplies

  • Maintaining websites and social media/updating promotional material

Qualifications:

Education: 2 years of post high school education: secretarial or word processing studies, or the equivalent.

Experience: At least 2 years of secretarial, word processing and practical office experience with demonstrated ability to work with limited direction and to direct the work of word processors or clerical assistants.

Technical: Advanced secretarial or word processing skills. The ability to take dictation at 100 words per minute and to transcribe at 55 words per minute. The ability to operate standard office machines and word processing equipment.

OR a combination of formal training and experience equivalent to the above

Preferred Qualifications

Google Suite and Microsoft Office desired. Previous experience with social media in a professional setting a plus.
