Responsibilities

OVERVIEW:

With general direction and latitude for initiative and judgement, perform routine and non-routine duties requiring advanced secretarial and database skills and proficiency in an administrative office. Demonstrate ability to communicate on a professional level with directors, administrators, and hospital staff and co-workers. Demonstrate ability to prioritize, perform assignments in a timely manner.

RESPONSIBILITIES:

  • Organizes meeting requests, sets up meetings including in-person, Zoom and videoconferencing, troubleshooting technical issues, participates in meetings by taking minutes, tracks meeting attendance and distributes minutes. Assists to develop meeting agendas and events, assists with divisional meetings and events.

  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders with vendors, verifying receipt of supplies and working with research teams to assure appropriate billing.

  • Performs administrative tasks including mail responsibilities, copies/scans/filing; maintaining/purging per schedule; assists faculty with administrative support.

  • Serves as liaison to other medical center services as needed (not limited to) Facilities, IT, Environmental Services, Computer Services, Copy Center and University Mail Services requesting services and overseeing work to completion.

  • Other duties as assigned: Ensures office area is clean and organized, arranges travel and other accommodations, prepares travel reimbursement forms.

    QUALIFICATIONS:

  • High School Diploma or equivalent required.

  • 2 years experience secretarial or administrative work required.

  • Detail orientated with strong organization and prioritization skills preferred

  • Ability to work independently under general guidance preferred

  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) required

  • Ability to interact with team of all levels of the University in a professional and courteous manner preffered.
