This position provides clerical and customer service support for the Center for Excellence in Teaching and Learning (CETL) in the College and reports to CETL’s Administrative Assistant. CETL provides academic support for students and teaching support for faculty. This position directs those seeking help to appropriate programs and provides critical administrative support to ensure the smooth operation of programs that promote academic success.
Serve as receptionist in an academic student support office, including answering the telephone, answering email, and greeting and assisting visitors
Direct students, parents, faculty, and staff to appropriate CETL/AS&E resources, program offerings, and other campus resources
Provide appropriate referrals and proactive support to individuals in distress
Assist with student payroll. Under the supervision of CETL’s administrative assistant, check hours entered to ensure accuracy between UR’s HRMS timekeeping software and CETL’s program-specific data. Work closely with CETL’s program coordinators to account for programmatic changes and the Student Employment Office to ensure policy compliance.
Manage calendars and appointments for CETL staff and CETL spaces
Handle substantial quantities of confidential material for CETL’s programs. Prepare, maintain, and retrieve student files and documents.
Compile and format usage data for CETL programs
Assist with interviewing, hiring, and training student employees
Perform additional clerical duties as assigned, including handling incoming and outgoing mail, running errands, ordering supplies, ordering catering, booking rooms, maintaining CETL suite space, and assisting with office coverage
Other duties as assigned
- The position requires two years of post-high school education and two years of office experience, or an equivalent combination of experience and education.
Ability to maintain an organized office environment and model professionalism at all times
Excellent interpersonal and customer service skills, including oral and written communication skills
Strong organizational skills and attention to detail
Ability to maintain confidentiality
Computer skills, including Microsoft Office applications such as Excel and Outlook
Familiarity with UR Financials (Workday), UR HRMS, FileMaker, WC Online, and/or When2Work software would be a plus, but is not required.
