With minimum direction and considerable latitude for independent judgment, perform routine and non-routine duties requiring highly advanced secretarial skills and proficiency. Individual provide support to the Director and Management Team of the Department of Pharmacy. Incumbent is responsible for considerable departmental administrative details and duties, requiring extensive experience with policies, procedures, and practices of the University/SMH, or in other demonstrated and related equivalent situations. With regard to department business matters, individual has frequent contact with Directors, faculty members, medical, and other administrative staff. Is responsible for the review and maintenance of the day-to-day clerical operations for the department.


  • Provide administrative assistance to the Department Head, Management Team, and various department staff members by maintaining calendars and schedules for the Management Team and performing word processing (abstracts, letters, transcripts, etc.) for Management Team and various staff.Furnish factual reports and information about the business of the department; compile technical and other information for publications, reports, or correspondence; and accurately assemble information for and assist in preparation of budget requests. Produce periodic status reports. Initiate and process purchase orders and invoices for payment.

  • Serve as the departmental receptionist by answering telephones and greeting visitors, sending and routing mail, photocopying, maintaining files, ordering office supplies, and arranging travel and accommodations for staff members.

  • Frequently compose, type, and sign non-routine correspondence providing factual information. Gather necessary information for and drafts important and confidential correspondence.

  • Make arrangements for administrative meetings by reserving meeting place, coordinating meeting logistics, and preparing and distributing agenda and all meeting materials, etc. Serve as a recording secretary for various meetings and take notes for future transcription and dissemination of the minutes.

  • Perform other related duties as assigned.


AAS in Secretarial Science with at least 3 years of secretarial and office experience, including 1 year in a position which demonstrated the ability to work with minimum supervision; or a combination of formal training and experience. Ability to operate commonly-used office equipment and peripherals. Computer-literate and proficient in MS Word, Access, Excel, PowerPoint, and Outlook. Prior work experience in an educational institution and/or hospital setting preferred.
