With minimum direction and considerable latitude for independent judgment, performs routine and non-routine duties requiring highly advanced secretarial skills and proficiency for the Director of Care Management and the Care Management Organization. May also support select AHP department heads. This position will also provide back-up for any absences of the AHP Administrative Assistant.
Primary secretarial support for Director of Care Management and the Care Management Organization. Includes creating PowerPoint presentations, typing Word documents, creating folders, and storing documents in appropriate places on AHP shared drive.
Managing calendars for CMO and other leaders.
Provides administrative support for CMO and other meetings, including tracking meeting attendance, ordering food, printing materials, taking minutes and IT set-up. (15%)
Making travel arrangements
Proactively keep track of key projects by creating and modifying project plans, spreadsheets, and other important documents.
Manage onboarding of new CMO employees; serves as workgroup timekeeper; assists with personnel action forms.
Maintain office supplies and stationary stock; order equipment and supplies
Monthly expense reports for CMO leaders
Receives visitors; answers, screens and forwards incoming phone calls
Education: 2 years of post high school education in secretarial studies or the equivalent.
Experience: At least 3 years of secretarial and office experience, including 1 year in a position which demonstrated the ability to work with minimum supervision and to direct an office operation.
Technical: Advanced secretarial skills. The ability to take dictation at 100 words per minute. The ability to operate commonly used office machines, such as voice recording equipment, adding and calculating machines, office copiers.
OR a combination of formal training and experience equivalent to the above
Associates degree in Secretarial studies or an equivalent combination of experience and training. Three years of secretarial/administrative experience, including at least one years in a position that demonstrated the ability to work with minimum supervision. Requires advanced secretarial skills including excellent computer skills. Requires ability to take ownership of processes and projects and to be able to work independently to make progress and get things done. Advanced abilities in Microsoft Office including Word, PowerPoint and Excel, electronic scheduling and electronic mail systems. Superior written and verbal communication skills. Applicant must be able to work independently, manage multiple responsibilities with competing demands and timelines and work productively with and without guidance in a fast-paced environment. Must be a team player and work well with stakeholders across the organization. Must be well organized, detail-oriented, and possess strong interpersonal, oral and written skills. Must have reliable/efficient transportation. Travel to off-site events and meetings required.
