The Support Specialist for Occupational Health (OH) assists the OH Administrative Assistant, OH Director and OH RN’s in all aspects of OH program delivery with general direction, minimal supervision and with some latitude for exercising independent judgment. Demonstrates professional accountability and demeanor continuously as the point of entry person for the UHS OH program.
Handles all medical information confidentially. Knowledgeable about and applies accreditation standards for quality and safety.
With the Administrative Assistant, coordinates assigned OH and Health Professional Student programs, including:
Assist planning, coordinating, and scheduling OH Core and special program care delivery following regulatory guidelines and requirements (University/OSHA/ CDC/NYS).
Reviews clinical visit coding and invoices to ensure accurate billing of OH program care.
Assist tracking and reporting staff compliance to program coordinators/departments, including faculty compliance.
Assist Administrative Assistant in preparing OH billing requisitions.
Assist registering and scheduling pre-employment /new hires.
Verify student status in ISIS/MIPPS systems.
Review, register, and process Health History Immunization Forms in EMR for SON Students, EIOH/International Students, Medical Students, and Visiting International Students.
Review and report compliance for visiting Medical Students and International Students (not in EMR).
Review and report patient contact compliance for the Summer Programs (STEP, SURF, Mini-Med) (not in EMR).
Serves as support for the OH Administrative Assistant, including covering essential duties in absence and cross-coverage of assignments due to specific program needs.
Ongoing review and assessment of ideas for improvement to support customer satisfaction, staff compliance and operational efficiency. Within UHS, evaluates issues of coding, billing, work flow and calendar. Identifies system problems and develops solutions for improvement.
Provides guidance for RN and support staff for OH programs. Serves as front line resource for internal and external customers. Use some independent judgment in problem solving.
Serves as Medical Center Office Receptionist, duties including:
verification of patient information & insurance
invoicing of appointments
scheduling follow-up appointments
Documenting and sharing OH Meeting minutes
Other duties as assigned
Education: 2 years of post high school education in secretarial studies or the equivalent.
Experience: At least 3 years of secretarial and office experience, including 1 year in a position which demonstrated the ability to work with minimum supervision and to direct an office operation.
Technical: Advanced secretarial skills. The ability to take dictation at 100 words per minute. The ability to operate commonly used office machines, such as voice recording equipment, adding and calculating machines, office copiers.
OR a combination of formal training and experience equivalent to the above
Working knowledge of OH concepts desirable. Excellent organizational skills required. Ability to clearly express ideas and information orally and in writing. Must work well with people, both in person and by phone. Proficiency in the use of Microsoft Word, Excel, PowerPoint, Outlook, and Windows required.
