Responsibilities

POSITION SUMMARY:

Responsible for managing the organ acquisition claim review process in EPIC. This position is also responsible for management of office correspondence and medical records.

RESPONSIBILITIES:

Organ Acquisition Claims Management

  • Uses critical thinking skills and knowledge of transplant evaluation processes to review hospital and provider charges in EPIC DNB and PB work queues and determines, by medical record review, if they should be submitted to the organ acquisition account or the patient insurance company.

  • Seeks advice and guidance from physicians and advance practice providers if claims are unclear or not documented correctly.

  • Reviews claims from outside providers and lab corporations to determine if they should be reimbursed by organ acquisition account or patient insurance and pushes them through the system to the appropriate payer.

  • Using appropriate tools and calculations reduces claims for both inside URMC providers and outside providers to Medicare rates and submits for payment processing.

  • Submit RFP for all approved External LAF claims.

  • Send detailed letter with reason for rejection on all external claim denials.

Office Correspondence and Medical Record Management

  • Delivery, pick-up and distribution of all incoming and outgoing mail (and monthly surgical mail rotation).

  • Send and retrieve all post-transplant record requests.

  • Sort and deliver all faxes.

  • Check tube station periodically and distribute incoming

  • Receive signed physician orders and fax/mail and scan

  • Urgent scanning as needed which consists of scanning, indexing and quality assurance for eRecord management, for scanning that will be sent to centralized scanning. Use knowledge of transplant practices to sort, organize and batch medical record documentation into appropriate categories and tabs to facilitate meaningful scanning of transplant patient medical information.

  • Manage office protocol manuals.

Patient Liaison

  • Document phone calls and patient interactions in eRecord system.

  • Participate in the phone answering system (ACD) to ensure patient phone calls are being addressed in a timely manner.

Meetings and Continuing Education

  • Attend monthly staff meeting, QAPI meetings, and other meetings as requested

  • Stays up-to-date with UNOS transplant and billing requirements needed for the position.

Performs other related duties as assigned.

REPORTING RELATIONSHIP:

Reports to Administrator and works closely with transplant providers including physicians, surgeons and coordinators.

QUALIFICATIONS:

  • Education: Completion of high school

  • Experience: 2 years of secretarial experience required and experience with claims and coding preferred.

  • Technical: Technical: The ability to type, operate standard office equipment including computer, calculator, telephone, facsimile, computer skills on Microsoft Office Suite (Word, Excel, Office, PowerPoint), EPIC, and OTTR.
