Responsibilities
I. General Description
Administrative and secretarial functions provided to the Director of Chaplaincy Services and the Associate Director of Chaplaincy Services. Responsible for phone coverage and responding to concerns and questions from the community and in the hospital. The secretary must have the ability to reason and make independent decisions, a high degree of resourcefulness and problem solving skills, and organized with and an attention to detail.

II. Specific Responsibilities
- Clinical
Essential – 85%
Creates correspondences, forms and memos related to interactions with community clergy, hospital staff and candidates for the Clinical Pastoral Education (CPE) program.

Works with the Roman Catholic Diocese to insure Roman Catholic priest coverage. Works with the Friends of Strong and a representative from the Roman Catholic Diocese to insure that the volunteer Eucharistic Ministers have the appropriate training needed and access to the Chaplain’s Office.
Provides figures for annual Medicare Report which entails quarterly documentation of or percentage of time, office expenses and office space allocated for Clinical Pastoral Education for reimbursement to the Medical Center.
Processes CPE applications and works with potential candidates to ensure that all required material is included. In addition works with the Director and PFS administrative staff related to employment of Chaplain Residents.
Oversees the parking privileges for over 850 clergy in and around Monroe County. Coordinates and accounts for all bookkeeping responsibilities for the Department which includes the CPE program, as well as visiting clergy parking, ordering supplies and Denominational donations for the CPE program.
Creates and maintains data base for data input to accurately define departmental statistics showing chaplain response to referrals within a 24 hour time periods which involves updating material to better justify cost efficiency of the Department to the Medical Center Finance Office.
Ensures that Chaplaincy Services staff has completed yearly mandatory in service, health updates and have turned in continuing education forms.
Performs other duties, as assigned.
- Administrative
Essential – 10%
Completes Hospital and Chaplaincy Services required in-service training programs within the required timeframe.
Completes required University Health Service appointments within the required time frame.
Completes time entry and other required forms and documentation within the designated deadlines.
Takes minutes for all Chaplaincy Services Meetings
Participates in professional development programs.
Serves as a member of hospital committees.
Provides coverage for the both Reception desks in Care Management and Social Work.
- Supervision and Teaching
Essential 5%
Participates in the orientation of CPE students
Orients office volunteers, if applicable.
III. Accountability, Supervision and Evaluations
The Secretary’s professional performance is supervised by the Director of Chaplaincy Services and the Finance Manager for Social Work and Patient & Family Services and is accountable for the provision of duties in accordance with Social Work and Care Management policies, procedures and standards of conduct. The Secretary’s job performance must conform to the expectations set forth in this job description. The Director of Chaplaincy Services and the Finance Manager, in accordance with guidelines established by the Social Work and Patient & Family Services, Strong Memorial Hospital and the University of Rochester conducts the Secretary’s evaluations. The Director of Chaplaincy Services and the Finance Manager may make salary and promotional recommendations within the above-mentioned guidelines.
IV. Position Qualifications
The Secretary who occupies this position must have an Associate’s Degree or an equivalent combination of experience and training, a minimum of 3-5 years secretarial experience, experienced with Microsoft Office/Word, Excel, Access, Powerpoint, Outlook and eRecord.

Pay Range
Pay Range: $ 17.64 - $ 24.71 Hourly
The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
