Responsibilities

Position Summary:

The Sec IV/Patient Coordinator will work in collaboration with the program coordinator to coordinate and expedite patient admissions, and provide office management/program support to the UR Medicine Cardiac Rehabilitation Program thereby fostering a smooth and seamless transition to the outpatient setting.

Responsibilities:

Coordination of Outpatient Admission:

Patient Recruitment

  • Collaborates with Phase I program staff and physician’s offices to coordinate patient admissions and ensure patients meet necessary diagnostic criteria for Cardiac Rehab per CMS requirements.

  • Field phone calls to main CR phone line for new and existing patient questions

Patient Information Coordination

  • Obtain/organize new patient information.

  • Creates/schedules initial appointments and follow up visits in in EMR, maintains accurate insurance information; scans appropriate information into eRecord

  • Performs patient program orientation and education assuring compliance with guidelines.

  • Ensures patient appointments and attendance is accurate in EMR.

Office Management/Program Support:

Program Support

  • Oversees administrative support staff providing education and training to assure compliance for registration and billing procedures.

  • Participates in marketing strategies and provides program literature to referring physicians and other referral sources.

  • Manages facility supplies and assures a reasonable inventory

  • Manages building facility issues in concert with Cabot group, Landlord and Real Estate Services

  • Other pertinent program duties as assigned by management team.

Reports

  • Participates in data analysis and makes recommendations for program improvements. Prepares monthly Phase II patient enrollment/volume reports to program coordinator clinical administrator, Cardiology Unit Administrator and Program Director which reflect program growth and utilization of ancillary patient care services.

Budget and Planning

  • Monitors patient enrollment volumes and sets recruitment goals and strategies.

  • Develops systems and other methods to assess achievement of program goals.

  • Audits patient attendance dates against posted charges

Qualifications:

  • Education: 2 years of post-high school education in secretarial studies or the equivalent.

  • Experience: At least 3 years of secretarial and office experience, including 1year in a position which demonstrated the ability to work with minimum supervision and to direct an office operation.

  • Technical: Knowledge/experience of hospital EMRs including scheduling, front desk and billing applications. Proficiency with Microsoft office including Word, Excel, Publisher and Powerpoint.

  • Baccalaureate degree in business management or marketing preferred OR a combination of formal training and experience equivalent to the above.

  • Prior cardiology/cardiac rehabilitation experience desirable. Excellent interpersonal and organizational skills necessary.
