POSITION SUMMARY:
With minimum direction and considerable latitude for independent judgment, performs routine and non-routine duties requiring highly advanced secretarial skills and proficiency for the head of an academic, medical service line. Is responsible for considerable departmental administrative details and duties as outlined below. In department business matters has frequent contacts with the Director of Nursing and members of the Emergency Nursing Leadership Team. Is responsible for the assignment and the review of the day-to-day clerical operations.

Receives direction from a Director of Emergency Nursing and members of the Nursing Leadership Team.

TYPICAL DUTIES :
Prepares and distributes nursing schedules in Dimensions for ED nursing units. Prepares and distributes vacation approvals and enters them into the schedules. Answers and responses to scheduling inquiries from staff. Supports nursing leadership with adjusting and updating schedules.
Provides administrative assistance to the Director of Emergency Nursing and the Emergency Nursing Leadership Team. Furnishes factual reports and data as needed and requested.
Performs secretarial duties including; the sorting and routing of mail, assembling class and new orientee packets, serving as the education suite receptionist, maintaining files and filing, arranging travel and other accommodations when needed, and ordering office supplies when requested.
Frequently composes, types, and signs non-routine correspondence providing factual information. Gathers necessary information for and drafts important and confidential correspondence as needed.
Types summary of and meeting minutes as requested for meetings.
Assists in arrangements for symposia, colloquia, and educational and leadership meetings; prepares and distributes agenda, reserves meeting place, etc.
Performs other related duties.
QUALIFICATIONS :
Education: 2 years of post-high school education in secretarial studies or the equivalent.
Experience: At least 3 years of secretarial and office experience, including 1 year in a position that demonstrated the ability to work with minimum supervision and to direct an office operation.
Technical: Advanced secretarial skills. The ability to take dictation at 100 words per minute. The ability to operate commonly used office machines, such as voice recording equipment, adding and calculating machines, and office copiers.
OR a combination of formal training and experience equivalent to the above.
