Shared Administrative Support Position (Secretary III)

Responsibilities
Position:
Provide office/administrative support to EH&S in general and Pest Control/Sanitation, Occupational Safety, Asbestos Control, Environmental Compliance, Emergency Preparedness and Business Continuity units in particular
Reports to Department Administrator
Primary Responsibilities:
Provide secretarial support to the specific units identified as well as main EH&S office support
General Office Support 50%
Answer phones, triage messages 15%
Process staff mileage and expense reports 10%
Coordinate purchase of general office supplies and miscellaneous purchases10%
Assist in rollout of new Planon system and ongoing use of system 10%
Schedule various meetings as requested, coordinate special events 5%
Pest Control / Sanitation Specific 30%
Maintain Pest Control & Sanitation time/activity log database 10%
Submit purchase requests for pest control supplies 5%
Distribute, file Pest Control & Sanitation reports 5%
Maintain records of temporary food permits and process payments 5%
Review and update Pest Control Labels/MSDS/pesticide database periodically 5%
Secondary Responsibilities: 15%
Coordinate and track calibration of Industrial Hygiene equipment 10%
Distribute mail, set up conference room for meetings 5%
Additional Responsibilities:
- Additional Duties as Assigned 5%
Minimum Qualifications:
Must be proficient in Microsoft Office and Outlook and have excellent customer service skills
Education: 2 years of post-high school education: secretarial or word processing studies, or the equivalent.
Experience: At least 2 years of secretarial, word processing and practical office experience with demonstrated ability to work with limited direction
