Position Summar y :

This position is responsible for the Urology office operations in the finger lakes.

As part of an administrative team, the Sr. Practice Manager is responsible for providing the highest quality of secretarial skills to provide support to the department. The Sr. Practice Manager reports directly to the Operations Administrator(s). This position represents the Department in interactions with selected Medical Center and out-patient entities. This position coordinates office services such as reporting, provider templates, managing schedules, backing up support staff and other administrative duties for a department. The Sr. Practice Manager must exercise independent judgment in the resolution of administrative problems.

This position is also responsible for day-to-day supervision of the Provider Support Specialist staff and the Outpatient Access Specialist in the finger lakes and processes related to team member satisfaction, patient satisfaction, patient registration, appointment scheduling and schedule management, medical records management, referral and prior authorization management, scheduling of procedures and telephone/message management. The Sr. Practice Manager is to assure all functions are completed in an accurate, efficient, and customer friendly manner.

Supervision includes training new employees, daily monitoring and periodic audit to benchmarks of staff to standard processes, evaluating and implementing new processes that will improve efficiency, and evaluating staff performance. Effectively respond to internal and external customer satisfaction concerns.

Coordinate with URMC and external vendors for facility management and services to faculty.

Specific Responsibilities :

Staff Supervision & Support (50%)

  • (30%) Supervises Provider Support Specialist and other staff assigned. Assigns responsibilities and ensures completion of work. Assigns staff to special projects such as quality monitoring of new processes and others as needed.

  • (10%) Recruits staff, completes performance evaluations, promotes completion of mandatory education, processes payroll, and when necessary, initiates disciplinary action. Develops and oversees staff work schedules. Approves time off requests, etc. in coordination with site and department needs.

  • (5%) Develops schedules and assures coverage for sick calls and vacations.

  • (5%) Fill in for staff members as needed.

Staff Training (15%)

  • (5%) Establishes guidelines for all standard operating procedures and ensures staff are well trained and competent in the technical requirements of all office support functions.

  • (10%) Ensure staff is oriented and adhere to customer service standards.

Process Management (20%)

  • (10%) Establish and maintain efficient and responsive patient flow systems to support preparation for visit, actual time in the office, and post-visit follow-up activities.

  • (3%) Analyzes and audits operations to ensure that policies and procedures are being followed. Provides feedback to staff about outcomes. Independently initiates changes when appropriate. Follows department and medical group protocols and develops job specific training, as needed. Ensures that training requirements are met.

  • (3%) In collaboration with faculty, directly monitors the work of staff to ensure accuracy and maximum efficiency.

  • (2%) Schedules and attends regular office meetings with providers and office staff. Maintains minutes of each.

  • (2%) Procurement of supplies to maintain operations.

Ancillary Department Collaboration (15%)

  • (5%) Serves as a liaison with Patient Accounts, Accounting, Access Center and Urology Billing. Coordinates the resolution of problems.

  • (5%) Oversees appointment scheduling accuracy by communicating with scheduler and Access Center staff.

  • (5%) Attends relevant meetings to ensure that front office operations are consistent with Medical Center expectations.

Minimum Qualifications

College graduation or an equivalent combination of experience and training. Minimum of 1 year relevant administrative experience.

Preferred Qualifications :

Degree in relevant field and/or 3-5 years of relevant experience, including supervisory/management experience. Specialized experience in an appropriate field related to the assignment is desirable. Requires organizational skills, management skills, attention to detail, motivation, and the ability to work independently.

Pay Range

Pay Range: $20.00 - $38.46 Hourly

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
