GENERAL PURPOSE:
Under the general direction of the Shipping and Receiving manager and Linen Department manager, the Operations Supervisor is responsible for the direct supervision, guidance, and coordination of day to day activities. Supervises and directs the functions of both the Shipping and Receiving Department and Linen department with significant latitude for independent judgement. For Linen - primary responsibilities include but are not limited to providing oversite of inventory, cost centers, invoice discrepancies and reconciliations, and inventory maintenance and adjustments. Interfacing with vendors and Nurse Managers, facilitating delivery of linens to various clinical, in-patient, imaging and perioperative services. Ordering and checking availability of essential specialty supplies used for patient care. Working closely with nursing leadership to ensure accurate and efficient par levels. For Shipping and receiving, provide oversight and direction to department staff re: staging, sorting, and delivering shipments to internal customers. Communicate with delivery carriers as necessary. Monitors main receiving dock and other designated delivery areas. The Operations Supervisor has a broad scope of responsibility and supports the vision of the hospital.
SPECIFIC RESPONSIBILITIES:
Determines and maintains optimal inventory levels to ensure linen availability and inventory is adequately stocked and replenished daily. Verifies accuracy of deliveries against purchase order, reviews and checks orders, makes alternative arrangements when appropriate. Identifies, recommends and suggests solutions for problems relating to inventory, process and ordering. Interface with nursing leadership and support staff to recommend par items, delivery schedule, and provide data regarding usage and quality assurance.
Performs routine rounds to ensure work requirements are met, accuracy of par deliveries and tidiness of linen cart, check that no equipment is left behind and procedures are followed. Maintenance assessment of equipment and tool required for staff to perform daily task. Interface with vendors to reconcile issues; cart discrepancies, shortages and purchasing. Identifies, recommends and suggest solutions for problems related to scheduling, assignments and attendance
Supervises Shipping and Receiving daily operations, in accordance with Supply Chain best practice standards. Ensure that deliveries are made to internal customer locations in a safe and timely fashion within predictable intervals and time tables. Reassigns and delegates delivery tasks to alternate staff members in the event of unexpected callout or absence. Ensures all outgoing shipments are properly marked, labeled, and collected by the correct outgoing carrier.
Under direction from the Shipping and Receiving manager, provide training as needed for the Shipping and Receiving department staff in the use of ASC and P2P to identify internal delivery locations for received shipments. Provide instruction on staging and delivery best practices, delivery routes to take, location learning. Assists with sorting, scanning, and organizing received packages when necessary. Monitors receiving dock traffic, carrier arrivals, departures, and total dock times via DataDocks tracking and first-hand monitoring. Works with URMC DataDocks administrators to analyze trends in carriers to organize and reconfigure delivery schedules to best fits the needs of both the internal customers and the available dock space.
Assists in the development, interpretation and administration, of Linen and Shipping and Receiving departmental policies. Oversee and direct vendor/supplier performance objectives and quality control of damaged, stained and soiled items. Collaborate with nursing leadership to facilitate new linen product request, cart covers and linen carts. Liaison between the vendor and nursing, to secure product, evaluate product quality and obtain quotes. Participate and be an active member of Aid to Hospital Utilization Committee. Manage the general maintenance of Linen department by working with Environmental Services and Facilities to repair OR Carts, staff carts, overhead doors and any type maintenance issues as they arise.
Supervise, evaluate, conduct disciplinary and hiring decisions for staff and oversee the training and development of staff to ensure current and future objectives are met. Monitor employee time records and measure performance. For Linen Department, under the direction of the Linen Manager, assists with carrying out the semi-annual physical product inventory as required by SMH Finance to meet cost accounting and regulatory requirements. Incorporate/demonstrate expected ICARE values, staff development and annual mandatory in-services. Other support task as identified by manager
Flexibility required. Holiday and weekend shifts may be required based on the needs of the department.
REQUIREMENTS:
College Degree, 4 years of related experience or a combination of education and experience
Two years supply chain experience, two years management experience or equivalent combination of experience and education
Microsoft Office applications. ASC experience is desired. Experience with Lean principles, performance measurement, inventory management, system analytics, finance, and process improvement. Supervisory experience over direct reporting staff preferred. Supply Chain experience related to linen and shipping/receiving is preferred.

Pay Range
Pay Range: $ 23.80 - $ 33.32 Hourly
The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
