Responsibilities

Position Summary:

Under the general direction of the Vice Provost for Academic Affairs, and working closely with the University’s academic divisions and central offices, provides leadership and support for a wide range of academic human resource matters relating to faculty and other academic personnel (e.g. postdocs, graduate students). Oversees University-level policies and procedures for academic appointments and liaises with other key central offices on benefits, policy development, regulatory compliance and data management for academic personnel. Identifies areas requiring coordination across academic divisions, and leads and collaborates with administrators and working groups containing multiple constituencies in the development of new policies and programs. Advises on best practices for faculty affairs and academic human resources.

Major Responsibilities:

Academic Appointments

  • Serves as key liaison to the Office of Human Resources and Office of General Counsel; provides strategic direction and leadership as it relates to academic personnel, including, but not limited to postdoctoral and graduate students.
  • Builds strong working relationships with schools by working closely with deans, associate deans, department chairs and senior leaders to gain a solid understanding of the various needs of academic divisions. Develops mechanisms and processes to meet the overarching needs of all stakeholders.
  • In collaboration with the Faculty Affairs Manager, provides governance over academic appointments, promotions, tenure, leaves of absence, sabbaticals, compensation plans, retirement programs, separation and other employee life cycle events.
  • Serves as the University authority on academic appointments and as a key liaison with the Office of Human Resources in regards to classifications, benefits administration and communication with academic personnel.
  • Directs and develops programs for defining, evaluating and assigning job codes to academic positions in the University in coordination with school officers; manages the governance for academic job codes (faculty, visitors, and postdoctoral positions).

Academic Personnel Policies

  • In conjunction with the Vice Provost for Academic Affairs, serves as the key point person and University authority responsible for directing and implementing University policies regarding appointments and promotions, salary bands, leaves of absence, endowed chair appointments, appeals, and other matters of an academic nature.
  • Provides recommendations and assistance to the Office of Counsel in evaluating the implications of federal policies on academic personnel and the internal mechanisms to ensure compliance across the academic divisions.
  • Manages graduate and undergraduate student compensation plans processed outside of Student Employment and faculty retirement programs. This includes peer benchmarking, program design and management of the programs.
  • Collaborates with central offices related to academic equal opportunity compliance programs, policies, and procedures.
  • Manages the Postdoc Health Insurance Plan and co-chairs of the Advisory Group.
  • Manages business processes through cross-functional alignment with Human Resources, Office of Counsel, Senior Leadership, Finance, Institutional Resources, etc.
  • Provides expertise on relevant subject matter to University affiliates.

Academic Personnel Data

  • Directs, plans and executes projects to improve structure, processes and consistency in data collection of academic personnel across the institution. Manages processes and procedures as appropriate to accommodate changing needs of the academic divisions.
  • Oversees data management, data integrity, reporting and providing critical analysis of data and information as it relates to academic affairs.
  • Works with Office for Institutional Research to interpret data, conduct research, and prepare analyses and reports.

Academic Personnel Relations

  • Oversees the Faculty Handbook, the Faculty Affairs website, and other resources, as appropriate.
  • In accordance with the faculty handbook, coordinates academic related processes across the academic divisions and among central offices including Office of Institutional Research, Office of Faculty Development and Diversity, University Information Technology and the Office of Graduate Studies.
  • Provides support and/or collaborates with academic units and Counsel as needed on employee relations for faculty and academic employee’s status disputes, contract grievances, disciplines, negotiations of settlement, and layoff of academic personnel.
  • Advises on best practices used in the recruitment of faculty and academic administrators.

Other Duties

  • Represents the University at professional associations and with government agencies as needed.
  • Serves on committees and projects related to academic personnel regarding compensation, benefits, or other projects.
  • Conducts workshops for appropriate administrators and key constituents on recruitment, reappointment, promotion process, tenure, retirement and other personnel processes, as appropriate.
  • Conducts peer benchmarking and implements best-practices on key academic processes and benefits, including faculty retirement programs, tuition exchanges and data collection.
  • Performs other duties as assigned.

Qualifications:

Master’s degree required. At least eight years of relevant, progressively responsible work experience, including direct experience in academic administration within a research university; or equivalent combination of education and experience. . Previous experience with human resources and/or faculty affairs preferred. Must have excellent organizational, communication and analytical skills. Requires good problem-solving, writing, research, and multi-tasking skills.
